ClinoView Refund & Cancellation Policy

This policy forms part of the ClinoView Terms of Service. Capitalized terms have the meaning given there.

1. Month-to-Month Subscriptions

ClinoView Subscriptions are billed monthly. There are no annual commitments and no minimum subscription period, unless the parties have agreed to a fixed-price or promotional period in writing.

2. Recurring Billing

Subscriptions renew and are billed automatically each month until cancelled. By subscribing, you authorize ClinoView to charge your payment method for the recurring base fee and for any usage-based charges that apply to your plan. Every charge is accompanied by an itemized invoice.

3. Cancellation

You may cancel at any time — through the billing portal or by emailing support@clinoview.com. No advance notice period is required.

Cancellation takes effect at the end of your current billing period. You keep full access to the Services until then.

When you cancel, any usage-based charges already accrued in the final billing period are settled on a closing invoice. This covers only usage that occurred before cancellation.

4. Refunds

ClinoView does not issue refunds for partial billing periods. If you cancel mid-cycle, you retain access through the end of the period you have paid for, and no prorated refund is issued for the unused portion.

Fees already paid are non-refundable except where a refund is required by applicable law, or where ClinoView has agreed to one in writing. If you believe you have been billed in error, contact support@clinoview.com within sixty (60) days of the invoice date and we will review it and correct any error we find.

5. Failed Payments

If a payment fails, we will notify you by email. If the outstanding balance is not settled within fifteen (15) days of the due date, we may restrict your account to read-only access. Continued non-payment may result in full suspension or termination.

Restoring access after suspension for non-payment requires settlement of all outstanding amounts.

6. Suspension for Non-Payment

If your account is suspended for non-payment, your data is preserved for a reasonable period so you can resolve the issue and regain access. If the account is not reactivated, it becomes subject to termination under the Terms of Service.

7. Data Access After Cancellation

Generated clinical reports can be downloaded individually as PDF from within the platform. ClinoView does not currently provide a complete self-service export of all Customer Data in a single file.

Following cancellation or termination, you have ninety (90) days to request an operator-assisted export at support@clinoview.com. We confirm scope, format, secure delivery method, and timing in writing before starting, and provide the data in a commonly used, machine-readable format (for example JSON or CSV, with generated reports as PDF). Your data is retained for at least that ninety (90) day period so the request can be fulfilled.

8. Permanent Deletion

Deletion is an operator-managed process rather than an automatic one, so we do not commit to a fixed deletion date. After the export window closes, or once you confirm your export is complete, request deletion at privacy@clinoview.com and we will carry it out without undue delay. Encrypted backup copies may persist for up to one (1) year under our standard backup rotation and are restored only for disaster recovery. We confirm deletion in writing once we have verified removal from both database records and file storage.

ClinoView retains authentication and administrative event logs for security and compliance purposes. These records contain account and access activity only — not patient clinical records, prescriptions, or medical histories.
